Privacy Policy

Ontario eSecondary School (OES) is a Ministry-inspected private online high school (BSID #667186). This Privacy Policy explains how we collect, use, protect, and disclose personal information across our website, enrolment process, and online learning platform. We are committed to protecting the privacy of our students, their families, and visitors to our website.

Section 1 — What Information We Collect and Why

Registration and enrolment information

When you register for a course, we collect the personal information needed to enrol the student and verify their eligibility. This may include the student’s name, date of birth, contact information, Ontario Education Number (OEN), proof of identity and residency, and prior academic records such as report cards or transcripts (used to confirm prerequisites and, where applicable, to assess credit equivalency).

Educational information

While a student is enrolled, we collect and create education records as part of delivering Ontario credit courses. This includes coursework and assessment submissions, grades and feedback, attendance and engagement records from our learning platform, communications between students and teachers, and — with the student’s consent — recorded video presentations, which are retained in the student’s folder. Coursework submitted for assessment is processed through the school’s internal academic integrity tools for originality and AI-detection screening.

Website and transaction information

When you make a purchase on our website, we collect the information you provide (such as name, address, and email address) to process the transaction. With your permission, we may also send you emails about our school, courses, and other updates.

How we use this information

We use personal information for the purposes of registration and enrolment; instruction, assessment and evaluation; reporting (including report cards, the Ontario Student Transcript, and the Ontario Student Record where OES is the holding school); the administration of Ministry of Education requirements (such as the OSSLT and the Financial Literacy Graduation Requirement, which are recorded in the applicable EQAO or Ministry-mandated systems); communication with students and, for students under 18, their parents/guardians; and the operation of our website and payment processing.

When you provide us with personal information to register a student, complete a transaction, or verify a payment, we confirm your consent during the registration or purchase process. For students under 18, a parent or guardian provides consent as part of enrolment.

You may withdraw your consent for marketing communications, or for the continued collection, use, or disclosure of your information, at any time by contacting us at info@oeshighschool.com. Please note that certain collection, use, and retention of student information is necessary for OES to deliver Ontario credit courses and meet Ministry of Education requirements; withdrawing consent for these purposes may affect our ability to continue a student’s enrolment.

Section 3 — Student Records and Education Information

Student education records — including report cards, the Ontario Student Transcript (OST), and the Ontario Student Record (OSR) where OES is the holding school — are collected, used, protected, and retained in accordance with the Education Act and applicable privacy legislation. Students have the right of access to their own OSR, and parents/guardians have the right of access until the student turns 18. Education records are retained in accordance with Ministry requirements (for example, report cards and documentation files are retained for five years, and the OSR folder containing the OST is retained for fifty-five years after a student retires from school).

Section 4 — Disclosure

We disclose personal information only as necessary for the purposes described in this policy — for example, to a student’s home school for reporting of marks, to the Ontario Universities’ Application Centre (OUAC) or Ontario College Application Service (OCAS) at the student’s request, to the Ministry of Education or EQAO as required to administer provincial requirements, or if we are required by law to do so or you violate our Terms of Service.

Section 5 — Payment

If you choose a direct payment gateway to complete your purchase, your credit card data is encrypted in accordance with the Payment Card Industry Data Security Standard (PCI-DSS). Your purchase transaction data is stored only as long as necessary to complete your transaction, after which it is deleted. All direct payment gateways adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, a joint effort of brands such as Visa, Mastercard, American Express, and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our school and its service providers.

Section 6 — Third-Party Services

In general, the third-party providers we use (for example, payment processors such as Stripe, our learning management system, and academic integrity tools) will only collect, use, and disclose your information to the extent necessary to perform the services they provide to us. Certain providers, such as payment gateways, have their own privacy policies for the information we are required to provide to them; we recommend you read those policies to understand how your information will be handled. If you are located in Canada and your transaction is processed by a payment gateway located in the United States, your personal information used in completing that transaction may be subject to disclosure under United States legislation. Once you leave our website or are redirected to a third-party website or application, you are no longer governed by this Privacy Policy or our Terms of Service.

Section 7 — Security

To protect your personal information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered, or destroyed.

Section 8 — Cookies

We use cookies to operate our website. We list them here so you can choose whether to opt out:

  • _session_id (unique token, sessional): stores information about your session (referrer, landing page, etc.).
  • cart (unique token, persistent for 2 weeks): stores information about the contents of your cart.
  • _secure_session_id (unique token, sessional).
  • storefront_digest (unique token, indefinite): where a page is password-protected, this is used to determine whether the current visitor has access.

Course enrolment for students under the age of 18 requires the consent of a parent or guardian, who also reviews and signs the OES Welcome Waiver. By using this website to complete a purchase, you represent that you are at least the age of majority in your province or territory of residence and, where you are enrolling a minor, that you consent to that student’s use of our services.

Section 10 — Changes to This Privacy Policy

We reserve the right to modify this Privacy Policy at any time, so please review it frequently. Changes and clarifications take effect immediately upon posting to the website. If we make material changes, we will notify you here that the policy has been updated. If our school is acquired by or merged with another organization, your information may be transferred to the new owners so that we may continue to serve you.
